PLEASE READ AND KEEP MEMORY THE FOLLOWING POINTS
READ FOR THE EXAMINATION PURPOSE


821. Whenever the regular accommodation provided in a train is inadequate for the carriage of all mails, the mail agent/mail guard will apply to the railway authorities for such extra accommodation as may be necessary. (Rule 8 Vol VII.)4
822. At stations where a record officer or Mail Agent is available the request for extra accommodation should be madeby the Record Officer or Mail Agent. (Rule 8 Vol VII).4
823. Misconnection of Mail buses, trains and air services at junction stations and airports should invariably be reported to the Superintendent, as early as possible, by record offices established at these places .( Rule (9)4
824. The misconnection between air services should invariably be reported by Record Officer to the Head of the circle by first post. (Rule 9).4
825. Metal Token supplied by department is an authority for them to be present in the mail van or reserved compartment or on the railway platform for exchange of mails and it should be shown on demand to railway guards or ticket examiners. (Rule 9 Vol VII)
826. Circulars of Head of the circle are issued by monthly which bear heading and a consecutive annual series of number. These circulars are issued and forwarded to all Supervising officers and Record officers and should be filled in Guard books. (Rule 10).
827. Orders issued by heads of circles for the general information and guidance of the RMS officials are published in their Monthly circulars. (R-10- Vol  VII)
828. Monthly circulars of RMS /record office should be destroyed after three years. (R-10- Vol  VII)
829. No Sorting assistant can be efficient unless he knows the  Due mail list by heart .
(R-12- Vol VII)
830. The Mail abstract is maintained in Mail office in form M43. (R-12- Vol VII)
831. If the sorting list is lost, no sum is recovered from the official as nominal cost of the sorting list, before a new copy is supplied. (R-13/1- Vol VII)
832. Metal token has to be returned, if the Sorting assistant Goes on leave; Transfer to other HRO and Dismissed/Removed from service . (Rule 14).
833. A metal of token authorized to type must be carried by all RMS officials except supervising officer. (Rule 14).
834. A metal token is supplied by Record officer concerned. (Rule 14).
835. If metal token is lost it should be reported at once to Record officer. (Rule 14)
836. On demand all RMS officials who travel in a vehicle or compartment reserved for the RMS, may show to the Railway guard and ticket examiners the Metal token.

837. The memorandum of Distribution work is issued by the Superintendent of RMS. (Rule16)
838. The memorandum of distribution of work is issued to HRO/SRO, when more than one official work in an office or a section by the Superintendent, R.M.S. [Rule 16 Vol-VII)
839. The memorandum of distribution of work in the case of a mail office or section is initially prepared by Inspector . [Rule 16 Vol-VII)
840 The period of preservation of invoices of articles received from stock depot is three years. (Rule17)
841. Preservation period of Order book of mail office and section is three years. Work paper of RMS offices and section is eighteen months. Correspondence related to robberies, theft etc is one year after the case is closed. (Rule17)
842. The record not to be destroyed without the special permission of the Head of the Circle. i. Order book of a record office. ii. Nominal roll of token holder iii. Work paper regarding which enquiry is in progress and not fully decided (Rule17)
843. Order books of a record office in the R.M.S are not to be destroyed without the special permission of the  Head of the Circle. [Rule 17(2) VoI-VII)
844. Work papers, regarding which enquiry is in progress, connected with cases which have not been fully decided or closed are not to be destroyed without the special permission of the Head of the Circle. [Rule 17(2) Vol - VII)
845. Whenever the Nominal roll of token-holders are to be destroyed, the destruction should be effected by tearing them into pieces in the record officer's presence. [Rule 17(2) Vol-VII)
846. The Order Book of a Record Office:  May not be destroyed without the special permission of Head of the Circle / Region. ( Rule 17(2))
847. Among the postage stamp kept in the stock of mail offices for sale if any stamp cannot be disposed of within a reasonable time the matter should be reported to the Superintendent of RMS. (Rule18).
848. In Head Record Offices one key of the safe will be retained in the custody of the Head Record Officer and the other in that of the Accountant. [Rule 19 Vol - VII)
849. In single handed record or sub-record offices, the keys of both the locks of the safe will be retained in the custody of sub-record officer. [Rule 19 Vol - VII)
850. Items to be supplied to set of a Mail office: a) a date stamp b) name stamp c) a date seal d) detained late fee not paid stamp.  (Rule 20)
851. Each set of a sorting mail office is further supplied with an Insurance seal  enclosed in a box provided with a lock and key. (Rule 20)
852. The willful removal of a page of an order book or guidance book will be regarded as a services offence and render the official liable for dismissal. (Rule 21)
853. A portfolio is supplied to each “Set of a section”, provided with a lock and key and bearing designation of the section and the number of the set to which it belongs painted on it. (Rule 22)
854. The designation of the section and the number of the set to which it belongs are painted on it is Portfolio bag. [Rule 22 Vol - VII)
855. Important articles which are required for the day-to-day work in the section, are carried in the portfolio [Rule 22 Vol - VII)
856. The portfolio will remain in the personal custody who is responsible of the Head Sorting Assistant. [Rule 22 Vol - VII)
857. In Head Record offices one key of the safe will be retained in the custody of HRO and other one is Accountant. The insured seal supplied to the set of mail office should be kept in the personal custody of Head Sorting assistant. Each set of section is supplied with a portfolio with lock & key bearing designation of section and the number of the set to which it belongs painted on it.  (Rule 22)
858. The stationary rate list will be issued by the Superintendent RMS showing the quantity or number of the articles of stationery to be supplied to each set of every section and mail office in the Division. (Rule 23)
859. The Head sorting Assistant of each set of the various sections attached to a Record Office will be supplied by the Record officer, in once in a month with supply of stationery. (Rule 23)
860. The Head Sorting Assistant will give a receipt in the stationery register. (Rule 23)
