901. Express mail bags/express bundles meanthe mail which should be opened first and taken for sorting. (Rule 54)
902. The mail bags addressed to the section or office should be opened by the head mail guard.R-56- Vol VII)
903. A station bundle is justified when there are more than 14 UR of the letter mail. (Rule 61)
904. The mail bags and packet bags made up by the set should be sorted according to the orders; with the forward bags and transit bags (R-62- VOI VII)
905. The parcel bags and packet bags of the set are to be included in the transit bag or to be sent loose will be shown in the due mail list of the set. (Rule 63)
906. Before closing the work of the set for the day the work papers must be examined by the Head Sorting Assistant.(Rule 64)
907. Final duties of the Head Sorting Assistant before quitting office.
i. Should carefully examine each sorting compartment to see that no article are left in it unsorted
ii. The sweeping, used labels, broken seal etc are personally examined .
iii.The articles of stationary, stamps, seals and books etc are carefully placed in the portfolio. (Rule 66)
908. The description of the sorting case prepared by the Superintendent showing the order in which the compartments of the sorting case are to be arranged is called the diagram of the sorting case. [Rule 67 Vol - VII)
909. The sorting assistant is also responsible for the preparation of station bundles in the manner prescribed for all POs for which there are more than Fifteen paid or unpaid and insufficiently paid station articles of the unregistered letter mail. [Rule 67 Vol - VII)
910. In sets where two or more sorting assistants are employed the senior most sorting assistant will be responsible for the performance of the general duties. (R67- Vol VII)
911. A Sorting assistant will be considered unfit for his postif he missent articles regularly which are clearly and legibly addressed.(Rule 68)
912. The station and territorial bundles received for onward transmission should be placed unopened in the bags in which there are to be forwarded. (Rule 72)
913. At present APMC (Automated mail processing centre) functioning at Mumbai (Rule 79).
914. The registration sorting assistant is responsible for the receipt, custody, sorting and dispatch of all Mail bags. (R-80- Vol VII)
915. The registration sorting assistant is responsible for the receipt, custody, sorting and despatch of registered articles. [Rule 80 Vol - VII)
916. Registered abstract is a register for a recording of receipts and issues of Registered articles. [Rule 81 Vol - VII)
917. The total of both sides of the abstract should agree and it should be signed by Mail agent. [Rule 81 Vol - VII)
918. The fee for a registered article which has been delivered by a post office in the same town is presented with a revised address for registration, a fresh registration fee is payable but no additional postage should be charged on the article unless it has been opened. (Rule 83)
919. If an article presented in a mail office, for registration, is believed to contain any thing the insurance of which compulsory, it should be refused registration (R-83- Vol VII)
920. Money order bundles invoiced at the foot of registered list will be received in regd bags. [Rule 86 Vol - VII)
921. Each MO bundle should be opened by cutting the thread and the number of money orders contained in it should be verified with number noted on the top slip at the top of the bundle. [Rule 86 Vol - VII)
922. In Mail office the Money order bundles are invoiced at the foot of the Registered list. (R- 86 Vol VII)
923. In Mail office the Money orders should be sorted according to the sorting list. (R-86 Vol VII)
924. In a Mail office the sorting assistant should make a Station MO bundle where ever the number of Money orders for a particular station is Six or more. (R- 86 Vol VII)
925. If the value of the Money order exceeds Rs 400/- it is called as High value money order. (R- 87 Vol VII)
926. The Registration Sorting Assistant should make a Station MO bundle where ever the number of High value Money orders for a particular station is two or more. (R- 87 Vol VII)
927. If there are six or more money orders for a particular post office, they should be bundled separately, addressed to that post office and marked "Station”. [Rule 87 Vol - VII)
928. High value station MO bundle is justified when the number of HVMO for a particular station exceeds One. (Rule 87)
929. Forward registered bundles should be treated as a single registered article. (Rule 88)
930. In a mail office when the work is not going on, the registration sorting case must be locked and the key should remain with the Registration Sorting assistant. (Rule 88)
931. If a regd article is presented for booking at the counter of mail office on Sunday it will be accepted with late fee in additional to normal fee. (Rule 89)
932. In the mail office insured check sheet is to be maintained by the insured registration PA. (Rule 92)
933. The supervisor of a CRC(Computer Registration Sorting Centre) is responsible for i.Timely opening of the set ii. Maintaining the master data for the interim dispatch iii. Opening bag allocation closing bag allocation. (Rule 93)
934. Set master relating to CRC meansthe number of each working set in the CRC. (Rule 93)
935. The system administrator in CRC
i. He will be responsible for the maintenance and security in the functioning of the system by keeping secrecy of his own password and also ensuring proper maintenance of password of all officials working in CRC.
ii. He will be responsible for the generation of MIS (Management Information System) reports such as sorter report, set wise report, booking office/delivery office reports, transmission report, keying capacity report. Forced closed remark report and Login -Logout report.
iii. He will be responsible for the maintenance of INI settings for Modern transmission and periodical Back-up/Restore of data and cleaning up of records. (Rule 93)
936. Mail agency master related to CRC means that it contains agencies detail of MMS & Sections for carrying bags closed in the CRC to other offices. (Rule 93)
937. Beat Master related to CRC means that it contains details of beats covered by each delivery office.(Rule 93)
938. The in-charge of CRC will be the System Administrator. [Rule 93(A) Vol - VII)
939. Supervisor CRC will exercise all the options in CRC for System Administrator in his absence. [Rule 93(A) Vol - VII)
940. System administrator CRC will be responsible for the maintenance and security in the functioning of the system by keeping secrecy of his own password and also ensuring proper maintenance of password of all officials working in CRC. [Rule 93(A) Vol - VII)
