PLEASE READ AND KEEP MEMORY THE FOLLOWING POINTS
READ FOR THE EXAMINATION PURPOSE



981. Record officer should issue work -papers of the previous trips. (Rule 126 Vol - VII).
982. Record officer should take over the empty bags brought back from the previous trips and issue bags for the next trips. (Rule 126 Vol - VII)
983. Record officer should communicate to the sorting assistants' orders received from the Superintendent or the Head of the Circle regarding changes in the sorting list and other matters. (Rule 126 Vol - VII)
984. Daily reports of sets will, after examination in the prescribed manner, be stamped and signed and forwarded along with and entered in the daily report to the Superintendent. (Rule 129 Vol - VII)
985. Check-slips attached to daily reports will be detached and for warded by first mail to Superintendent or First Class Postmaster concerned, by Record officer. (Rule 129 Vol - VII)
986. All communications received from the Superintendent calling for explanation of irregularities committed by sorting assistants are sent to the record office for delivery to the persons concerned through Delivery book. (Rule 136 Vol - VII)
987. The work papers of the mail office should be put up in a quarterly bundle. (R-138- VoI VII)
988. The Record Officer is required to submit a daily report to the Superintendent. The report should be accompanied by the daily reports of the HSA & Mail agent of the sections attached to the Record office and by the Sorting Assistants, written explanations (if any) of irregularities committed by them. (Rule 141)
989. The following irregularities occur, they must invariably be noted in the Record officer's daily report.
i.Non-attendance or late attendance of a Sorting Assistant on the attendance day at the Record .
ii. Negligence on the part of a Sorting Assistant, as evidence by the number of complaints received against him, or by careless preparation of work-papers;
iii. loss of Sorting Assistant's metal token; or sorting list. 
iv. loss of, or damage to any article supplied to the set. (Rule 141)
990. The Record Officer is required to submit a daily report to the Superintendent. The report should be accompanied by the daily reports of the HSA & Mail agent of the sections attached to the Record office and by the Sorting Assistants, written explanations (if any) of irregularities committed by them. (Rule 141)
991. Absence of a sorting assistant, mail guard or van attendant from the set proceeding on a trip should be reported to Superintendent by IP . (Rule 141 Vol - VII)
992. Absence of a sorting assistant, mail guard or van attendant from the set proceeding on a trip. Should be reported by the record officer to Superintendent . (Rule 141 Vol - VII)
993. Non-attendance or late attendance of a sorting assistant on the attendance day at the record office; should be reported by the record officer.  (Rule 141 Vol - VII)
994. Negligence on the part of a sorting assistant or careless preparation of workpapers; should be reported by the record officer in the Daily report . ( ule 141 Vol - VII)
995. Loss of sorting assistant's metal token; should be reported by the record officer in the Daily report. (Rule 141 Vol - VII)
996. Closing balance of cash in hand on account of pay and allowances should be noted in Daily report by Record officer.  (Rule 141 Vol - VII)
997. Permanent advance for contingencies under head (1) cash and (2) amount of vouchers in hand should be noted in daily report by Record Officer.  (Rule 141(2) Vol - VII)
998. On the 5th of every month, the Head Record officer must submit a monthly account bundle, documents relating to the previous month to Head of the Circle.  (Rule 145 Vol - VII)
999. The memo. of disbursement of salaries and T.A. accompanied by acquaintance rolls, are sent by Head Record officer to the Divisional office. (Rule 145 Vol - VII)
1000. The binding of acquittance rolls in respects of staff, for whom establishment returns are sent to the Postal account office and for whom service books of service rolls are maintained need not be in leather but in cloth as there are to be preserved for 6 years. (Rule 146)
1001. Territorial money order should be prepared when the number of money order exceed Ten.  (Rule 154)
1002. Territorial RBs for each state should be prepared when the number of RL exceed Ten. (Rule 154)
1003. Closing of bags
(i) Surface L bags: More than 50 articles. (ii) Surface D bags: More than 50 articles, 6 registered letters. (iii) Air Mail PC: Between 50 to 150 articles. (iv) Air mail bags: More than 150 articles. (Rule 156)
1004. Option related to frequently of visit 
(i) SSRMs/SRMs/ASRMs of Divisional Office of City Divisions.- Three visits a week to mail offices; each night set once a fortnight, one PO in a week.
(ii) SSRMs/SRMs/ASRMs of Divisional Office of non-city division. Once a week visit to a mail office at HQ,3 mail offices in a month outside the headquarter. All the sets are to be visited including the SRO as well as one Post Office in that place.
(iii) SRMs (Sorting) attached to mail offices. - Should visit one set of the Mail Office daily. Of these, two visits will be to the night set every week.
(iv) Sub-Divisional IRMs. - Once a week visit to each Mail Office at headquarters; once a month visit to all Mail Offices including all the sets and the SRO and at least one Post Office. (Rule 157) 
1005. Metro mail survey carried out in Chennai, Delhi, Bangalore, Hyderabad Mumbai, Kolkata. (Rule 157)
1006. The survey will be done by project coordinators concerned in the respective metros: with the assistance of i) SSRMs/SRMs ii) SSPOs/SPs iii) ASRMs/ASPs iv) IRMs/IPOs (Rule 157)
1007. Metro mail survey
i) One GPO, Two Sub-Post Offices and one Head Post Office should be selected for the survey.
ii) The survey may be conducted separately in the GPO, the Head Post Office and the Sub-Post Offices. The Sub-Post Offices selected should have a reasonable quantity of mail. 
iii) 25% of the total mail received in the Post Offices is to be studied. 
iv) The list of the Post Offices where the survey has been conducted must be annexed to the report in proforma Forms C &D. (Rule 157) 
1008. All India mail survey has to cover i. Home district ii) Neighbouring circle & distant circle iii) Home circle. (Rule 157) 
1009. All India mail survey
i) The survey will be conducted in one selected P.O. in each Division. The Post Office can be a Head Post Office or a Sub-Post Office.
ii The Heads of Circles will chalk out the Survey Programme in such a way that at least 25% of the Post Offices selected are in rural areas.
iii) The Post Office selected should receive a reasonable quantum of mail. 
iv) At least 25% of the articles received in the Post Office should be taken for the study. (Rule 157) 
1010. Live mail survey is carried out in Monthly (Rule 157) 
1011 Sample survey of mails will be carried out in respect of Metro Channel in the cities of Chennai, Delhi, Mumbai, Kolkata, Hyderabad and Bangalore by Project coordinators (Rule 157(A) Vol - VII)
1012. In Sample survey of mails 25 %  of the total mail received in the Post Office is to be studied. (Rule 157(A) Vol - VII)
1013. Sample survey of mails is to be undertaken in the month of September. (Rule 157(A) Vol - VII)
1014. All India Mail survey has to cover Home District, Home Circle, Neighbouring Circle and Distant Circle mails. (Rule 157(A) Vol - VII)
1015. In All India Mail survey, the report is to be prepared as per pro forma Form B (Rule 157(A) Vol - VII)
1016. Live mail survey (monthly) is to be conducted in Two delivery Post Offices in each Postal Division. (Rule 157(A) Vol - VII)
1017. Live mail survey 
i) The survey is to be conducted in one delivery PO in each Postal Division.
ii) The PO to be selected should have a reasonable quantity of mail for study.
iii) 25% of the Post Offices selected for the survey should be in rural areas 
iv) At least 25% of the total mails received in the PO selected is to be studied. (Rule 157)
1018. A register called Un posted register should be maintained in each Mail Office which will show the details of articles received, transferred from the previous set, received in the set, disposed of in the set and transferred to succeeding set. (Rule 157(3) Vol - VII) 
1019. The postal stores depot (Bags) situated at circle HQ are termed as Circle bag office. (Rule 161)
1020. The Postal Directorate 'D' Section will function Central Bag office.  (Rule 161)
