 Action to be taken in certain cases

    Mails collected have to be examined before further processing. Sorting PA has to satisfy that          the articles posted conform to the conditions of posting and are prepaid with the postage                 stamps.  Articles that are not fully prepaid or are insufficiently paid with postage are called         unpaid articles.  Such articles of inland mail are assessed and date stamp and postage due             stamps affixed. If non postal  stamps or foreign postage stamps are impressed, they should not     be defaced

Action as in the table below is suggested if some discrepancies are noticed in the course of  examination

6	Privately manufactured unused  envelopes, cards, ILC bearing  postage stamps found in LBs or  at counter	• Error to be noted in Error book • Stamp cut from article & pasted in Error  Book • defaced with date stamp
7	Unused envelopes, cards, ILC ,  currency notes & coins & other  valuable articles found in LBs or  at counter	• Error to be noted in Error book • Transferred to treasurer

In case of foreign mail, action as below is taken

Letter for foreign country marked "registered" found in letter box: This will be  compulsorily registered if it is fully prepaid for postage and registration charge for  foreign country. If it is fully prepaid for postage and registration and not for  acknowledgement, their acknowledgement is removed and the word ”with  acknowledgement" is scored out. If the postage is sufficient for airmail then the  superscription "regd" is scored out and article is dispatched as unregistered. 

சில சந்தர்ப்பங்களில் எடுக்க வேண்டிய நடவடிக்கை

சேகரிக்கப்பட்ட அஞ்சல்கள் மேலும் செயலாக்கத்திற்கு முன் ஆய்வு செய்யப்பட வேண்டும். இடுகையிடப்பட்ட பொருட்கள் இடுகையிடும் நிபந்தனைகளுக்கு இணங்குகிறதா மற்றும் தபால் முத்திரைகளுடன் முன்கூட்டியே செலுத்தப்படுகிறதா என்பதை வரிசைப்படுத்தும் PA உறுதிப்படுத்த வேண்டும். முழுமையாக முன்கூட்டியே செலுத்தப்படாத அல்லது தபால் கட்டணத்துடன் போதுமான அளவு செலுத்தப்படாத பொருட்கள் செலுத்தப்படாத பொருட்கள் என்று அழைக்கப்படுகின்றன. உள்நாட்டு அஞ்சலின் அத்தகைய பொருட்கள் மதிப்பீடு செய்யப்பட்டு தேதி முத்திரை மற்றும் செலுத்த வேண்டிய தபால் முத்திரைகள் ஒட்டப்படுகின்றன. அஞ்சல் அல்லாத முத்திரைகள் அல்லது வெளிநாட்டு தபால் முத்திரைகள் பதிக்கப்பட்டால், அவை அழிக்கப்படக்கூடாது.

ஆய்வின் போது சில முரண்பாடுகள் கவனிக்கப்பட்டால், கீழே உள்ள அட்டவணையில் உள்ள செயல் பரிந்துரைக்கப்படுகிறது:

1	"பதிவு செய்யப்பட்டது" என்று குறிக்கப்பட்ட பொருட்கள் கடிதப் பெட்டிகளில் காணப்படுகின்றன.	* பிழை பிழை புத்தகத்தில் குறிப்பிடப்பட வேண்டும். * POS இல் கட்டாயமாக பதிவு செய்யப்பட வேண்டும். * ரசீது பிழை புத்தகத்தில் ஒட்டப்பட்டது. * செலுத்தப்படாத நிலையில் செலுத்த வேண்டிய முத்திரையுடன் பதிக்கப்பட்டது. * சம்பந்தப்பட்டவருக்கு பிழையின் சாறு அனுப்பப்பட்டது.
2	பொட்டலங்கள் கடிதப் பெட்டியில் காணப்படுகின்றன.	* பிழை பிழை புத்தகத்தில் குறிப்பிடப்பட வேண்டும். * அஞ்சல் அலுவலகத்தில் இருந்தால், அருகிலுள்ள அஞ்சல் அலுவலகத்திற்கு மாற்றப்பட்டது. * அஞ்சல் அலுவலகத்தில் இருந்தால், POS இல் கட்டாயமாக பதிவு செய்யப்பட வேண்டும். * சம்பந்தப்பட்டவருக்கு பிழையின் சாறு அனுப்பப்பட்டது.
3	பொருட்கள் திறந்த, சேதமடைந்த அல்லது உள்ளடக்கங்கள் இல்லாமல் காணப்படுகின்றன.	* பிழை பிழை புத்தகத்தில் குறிப்பிடப்பட வேண்டும். * உள்ளடக்கங்கள் மற்றும் பொருள் பாதுகாக்கப்படுகிறது. * பாதுகாக்கப்பட்ட உறை இலக்கு அலுவலகத்திற்கு அனுப்பப்பட்டது.
4	நாணயங்கள், பொன் நகைகள், கரன்சி நோட்டுகள் போன்றவை கொண்ட பொருட்கள் காணப்படுகின்றன.	* பிழை பிழை புத்தகத்தில் குறிப்பிடப்பட வேண்டும். * ஒரு உறையில் பாதுகாக்கப்படுகிறது. * பாதுகாக்கப்பட்ட உறை பதிவு செய்யப்பட்டு இலக்கு அலுவலகத்திற்கு அனுப்பப்படுகிறது.
5	தபால் கட்டணம் கடிதப் பெட்டி அல்லது கவுண்டரில் காணப்படுகிறது.	* பிழை பிழை புத்தகத்தில் குறிப்பிடப்பட வேண்டும். * ஒற்றையாக இருந்தால் பிழை புத்தகத்தில் ஒட்டப்பட்டு அழிக்கப்பட்டது. * முழு தாள் என்றால் கருவூலத்திற்கு மாற்றப்பட்டது.
6	தபால் முத்திரைகள் தாங்கிய தனிப்பட்ட முறையில் தயாரிக்கப்பட்ட பயன்படுத்தப்படாத உறைகள், அட்டைகள், ILCகள் LBகளில் அல்லது கவுண்டரில் காணப்படுகின்றன.	* பிழை பிழை புத்தகத்தில் குறிப்பிடப்பட வேண்டும். * முத்திரை பொருளில் இருந்து வெட்டப்பட்டு பிழை புத்தகத்தில் ஒட்டப்பட்டது. * தேதி முத்திரையுடன் அழிக்கப்பட்டது.
7	பயன்படுத்தப்படாத உறைகள், அட்டைகள், ILCகள், கரன்சி நோட்டுகள் மற்றும் நாணயங்கள் மற்றும் பிற மதிப்புமிக்க பொருட்கள் LBகளில் அல்லது கவுண்டரில் காணப்படுகின்றன.	* பிழை பிழை புத்தகத்தில் குறிப்பிடப்பட வேண்டும். * கருவூலத்திற்கு மாற்றப்பட்டது.

வெளிநாட்டு அஞ்சல் விஷயத்தில், கீழே உள்ள நடவடிக்கை எடுக்கப்படுகிறது:

"பதிவு செய்யப்பட்டது" என்று குறிக்கப்பட்ட வெளிநாட்டு நாட்டிற்கான கடிதம் கடிதப் பெட்டியில் காணப்பட்டது: இது வெளிநாட்டு நாட்டிற்கான தபால் கட்டணம் மற்றும் பதிவு கட்டணத்திற்கு முழுமையாக முன்கூட்டியே செலுத்தப்பட்டால் கட்டாயமாக பதிவு செய்யப்படும். இது தபால் கட்டணம் மற்றும் பதிவு மற்றும் ஒப்புதலுக்காக முழுமையாக முன்கூட்டியே செலுத்தப்பட்டால், அவற்றின் ஒப்புதல் அகற்றப்பட்டு "ஒப்புதலுடன்" என்ற வார்த்தை அடிக்கோடிடப்படும். தபால் கட்டணம் விமான அஞ்சலுக்கு போதுமானதாக இருந்தால், "பதிவு செய்யப்பட்டது" என்ற குறிப்பு அடிக்கோடிடப்பட்டு, பொருள் பதிவு செய்யப்படாததாக அனுப்பப்படும்.
